Job Description:
Receive and verify vendor invoices and payment requisitions.
Maintaining Petty Cash Record, Periodic disbursement of petty cash expenses.
Verify that payables transactions comply with financial policies and procedures.
To ensure vendor invoices are checked and properly authorized.
Resolve invoice discrepancies.
To book expenses in books and deduct proper tax.
Manage the weekly cheque run.
Maintain the general ledger.
Prepare bank reconciliation weekly.
Ensure fixed asset purchases and payments are as per policy.
Correspond with vendors and respond to enquiries
Correspond with bank.
Prepare monthly TDS data and deposit Tax on time.
Timely Deposit all statutory dues like TDS, WCT, PF etc.
Prepare quarterly TDS return and submit.
Issue FORM 16 to vendors quarterly.
Knowledge of TDS & Service Tax.
b) MIS Reporting
Submit monthly reports and help in month end and year end closing.
Ensure creditor's accounts are reconciled periodically.
Daily reporting of Petty Cash account and ensure adequate balance is maintained.
Handle auditor queries regarding accounts payable.
Maintain records and vendor file.
Identify any time consuming bottlenecks and recommend improvement process.
Any other task as may be assigned.
Decision Making Authority/Approval/Authorization Level:
Routine decisions pertaining to the above within the existing systems and procedures
Challenge of the job/problem solving:
Timely, accurate and systematic processing of all information.
To ensure timely collection of payments from CHAs/ shippers/ end users.
Contact with others:
a) Internal : All departments in Star Track and Finance function at Maersk, Mumbai.
b) External : Banks / Vendors & CHAs
